With excitement for the term ahead, allow me to express my gratitude to you for entrusting me with the duties to lead our region for the upcoming term. However, I believe that I need a motivated team of individuals from the whole region to drive initiatives,  projects and work with Afro members for the development of medical students in the region. 

Afro NMOs have capable individuals who are creative and dedicated to putting their efforts to use for the development of the region. Our predecessors have done a great job in laying the foundations for us, it is therefore our responsibility to sustain the gains made through our collective efforts to bring homemade solutions and initiatives that positively impact our region and move forward together as United Africa.

Available positions

The GA always works hand in hand with the RD for the effective administration and coordination of the region. He is expected to be competent with good administrative skills ,  has a better understanding of regional affairs and sufficient knowledge of Afro NMOs.

Task description:

  • Providing assistance to the RD in the  administrative tasks of the region.
  • Assisting RD in facilitating the OLMs with  presidents and the regional team and  being responsible for scheduling them as well as minute-taking.
  • Co-coordinating the implementation of  Regional Strategy through follow up of  the  strategy tracking sheet.
  • Compiling the RT annual working plan and make follow-up of its implementation.
  • Ensure that all the Development  Assistants are following up on NMOs  about the important deadlines and provide  assistance whenever needed.
  • Assist in the preparation, facilitation, evaluation, and follow-up of regional sessions in the GAs and Presidents’  Sessions during ARM.
  • Assisting the RD in ensuring proper communication and keeping up with deadlines along with the regional meeting organizing committee.
  • Compiling Regional Team reports and working with PRC RA to share bimonthly reports to NMOs.
  • Establish an efficient working relationship  with the rest of the team.
  • Coordinate the Need Assessment for  NMOs development. 
  • Coordinate the NMO needs assessment and NMO  directory.
  • Work with RD to develop and implement the regional initiative of Afro NMOs peer mentorship. 
  • Assisting the RD develop new strategies and approaches to boost the members’ engagement.
  • Any tasks delegated by the RD.

Selection criteria:

  • Motivation to contribute to the development of the region.
  • Fluent in English language( spoken and written).
  • Open to learn, communicate effectively, receive feedback and work on them.
  • Attendance at the Africa Regional meeting 2023 at least one GA during 2023/2024 term.
  • Having attended at least one ARM or GA.
  • Good knowledge and understanding of IFMSA structure and operations( plenary procedures, constitution and bylaws).
  • Good availability for the entire term and adequate follow-up of emails and online meetings.
  • Access to a good internet connection.
  • Proficiency in the use of online management platforms commonly used in IFMSA( google forms, google docs,…).

Task description:

  • Manage and become the main contact person of a group of NMOs in assigned subregion.
  • Assist the RD  to analyze NMO reports, conducting NMO needs assessment and updating the NMO directory.
  • Ensure effective communication between NMO presidents and the Regional team.
  • Individual follow-up of the region’s NMOs internal problems in terms of structure, bylaws,legal status..etc.
  • Assisting the NMOs to maintain their membership,  voting rights ahead of general assemblies.
  • Assisting the RD in the recruitment of new NMOs and upgrading of existing NMOs.
  • Initiating discussions with suspended NMOs and draw up an effective plan to revive their membership.
  • Assisting in the facilitation of presidents’ sessions during the regional meetings and the regional sessions during general assemblies.
  • Working with the RD to mobilize NMOs on the initiative of the Africa NMOs Activity Leaderboard.
  •  Facilitating the communication between  NMO representatives and SC RAs with regards to the development of standing committees in the African region.
  • Assisting the RD in initiating discussions on regional and international platforms about relevant issues for the region and IFMSA.
  • Work closely with NMOs in Suspension and create plans on how to assist to clear their debts and lift the suspension.
  • Assist in NMOs’ conflict management and prevention strategies.
  • Coordinate the NMO development and liaise with CB RA for CB events.
  • Work with general assistant on GA preparation webinars, delegation preparation for presidents, intra-RT building activities, and sending resources on membership engagement.
  • Any tasks delegated by the RD. 

Selection criteria

  • Motivation to work on Afro NMOs development.
  • Fluency in English Language( spoken and written) and French (spoken and written) is an added advantage. However, it is mandatory for the DA who will be assigned to work with West Africa Region.
  • Attendance to ARM 2023 and at least one GA during 2023/2024 term.
  • Having attended at least 1 ARM or GA.
  • Possess good knowledge of national EB work and having at least held leadership positions in the national EB.
  • Sufficient knowledge and experience handling of finances within IFMSA.
  • A very good team play and leadership skills.
  • Knowledge of the region’s main issues and priorities.
  • Better  Understanding of voting rights requirements and membership maintenance.
  • Good availability for the entire term and adequate follow-up of emails and online meetings.

Available positions

This is a position that requires planning, organizational and team-working skills. Both IDAs will work together to develop strategies to engage NMOs in IFMSA Americas, and to empower them to achieve their goals. One IDA will focus on the implementation of regional plans in the NMOs internal work, and the other will focus on the organizational and financial development of NMOs. Applicants should explain how they will work together and independently, and include their experience in their area of interest.

Task description:

  • Work together with the RD in conducting the assessment and follow-up of the needs and priorities of the NMOs categorizing it in the pillars of the regional strategic plan. 
  • Collect and analyze data about organizational development from the NMOs.
  • Assisting in the creation of NMOs’ development plans according to their needs and IFMSA Americas Strategic Plan.
  • Establish regular and active communication with national VPIs/VPMs, creating strategies for engagement with IFMSA strategies and activities. 
  • Assist and follow-up in the creation of NMOs National Strategic Plans. 
  • Assist NMOs in their financial empowerment by providing training and support in financial management and fundraising according to their needs.
  • Coordinate with the RT core team the implementation and follow-up of the IFMSA Americas Strategic Plan 2022-2025. 
  • Assist the RD in NMO recruitment, membership upgrade, and ensuring their smooth transition into IFMSA.
  • Assist NMOs in the process of gaining voting rights for General Assemblies together with the RD (paying the membership fee, helping update databases, NMO reports, etc.).

Selection criteria:

  • Preferably, previous executive management experience, mainly related to organizational development, finances and strategic planning. It is highly appreciated if the person has participated in a TNT, LEAD or Presidents Sessions.
  • Excellent sense of accountability: readiness to engage the team, manage follow-up and commit to internal and external deadlines.
  • Preferably attended at least one Regional Meeting/General Assembly. 
  • Knowledge of the IFMSA Americas Strategic Plan, Regional Priorities and Americas’ Regulations.

The MEA will be the bridge between the RT, and the general members of the region. The position will involve creating, developing and promoting activities that engage and empower our members. This position will require someone who is proactive, motivated, and able to think out of the box and find new ways to connect with every member of our region. Excellent communication skills, passion for the Americas, creativity and experience in activities management is required. 

Task description:

  • Coordinate the Editorial Board of the Americas’ Heartbeat.
  • Coordinate strategies for language inclusive activities among the region. 
  • Work together with the RAs to design and implement regional activities that promote engagement with the general members.
  • Promote and support the creation of regional activities, campaigns, or statements by the NMOs, taking into consideration regional representation and intersectionality.
  • Coordinate the Activities Fair, Activities Presentation and Representation Watch during the Americas Regional Meeting.
  • Coordinate the Activities Week, together with the Regional Team. 
  • Actively create, develop, conduct, and follow-up on member engagement  initiatives within the region, tracking the impact and outcomes of it. 

Selection criteria:

  •  Experience in leadership, teamwork, high workload, and time management. 
  • Excellent sense of accountability: readiness to engage the team, manage follow-up and commit to internal and external deadlines. 
  • Must have previous experience in campaigning, activity management and evaluation. 
  • Preferably attended at least one Regional  Meeting/General Assembly and participated or judged an Activities Fair or Activities Presentation. 
  • Preferably, have any other international experience, such as SWGs, sessions teams, etc.
  • Knowledge of the Regional Priorities and IFMSA Americas Strategic Plan.

Available positions

The Asia-Pacific General Assistant assists the Regional Director on daily administrative tasks, membership technicalities and the regional strategy follow up. As part of the core team, it is also expected that the General Assistant work with the Development Assistant helps with team coordination.

Task description:

  • Work closely with the RD on the management of daily affairs;
  • Coordinate the general administration work within the Regional Team and regional team management initiatives;
  • Assist the RD in meeting scheduling and minutes taking;
  • Collect and archive all relevant documents, and maintain the regional resources folder;
  • Assist the RD in the compilation and assessment of Regional Team and NMO needs, reports and resources;
  • Assist the RD in NMO recruitment, membership upgrade, and ensuring a smooth transition into IFMSA;
  • Assist the RD in membership related reports;
  • Assist the RD with promotion, development, monitoring, implementation, and review of the Asia-Pacific Regional Regulations and Asia-Pacific Regional Strategy 2022-2025;
  • Assist the RD in implementing the hybrid mandate for APRM;
  • Develop team-building strategies within the Regional Team and among Asia-Pacific NMOs;
  • Assist the RD with the coordination with the APRM 2024 Organising Committee;
  • Assist the RD in the organization and facilitation of Presidents’ session during APRM and the regional sessions during General Assemblies, including preparation of Plenary Teams. 

Selection criteria:

  • Knowledge on current AP NMOs and understanding of IFMSA membership processes;

  • Knowledge of using Google workspace including but not limited to Google spreadsheets and Google documents;

  • Availability to attend the Asia-Pacific Regional Meeting 2024 and, preferably at least 1 General Assemblies;

The expected time commitment 8-12 hours per week, expected high workload for membership applications period, APRM preparations and Regional Priorities.

The Asia-Pacific Development Assistant assists the Regional Director on tackling barriers of the region by conducting and facilitating regional initiatives. The Development Assistant also works on activities promotion and members engagement within the region. As part of the core team, it is also expected that the Development Assistant works with the General Assistant helps with team coordination.

With the continuation of the PRC Regional Assistant and the removal of the Finances assistant, the Development Assistant will have limited designs related work but act as the communication with the Finances IT. 

Task description:

  • Assist the RD in coordinating regional activities, campaigns, initiatives, and other methods to facilitate transnational collaboration among NMOs;
  • Assist the RD in identifying and coordinating the implementation of regional priorities in collaboration with the relevant Regional Assistants;
  • Assist the RD to promote collaboration in regional work;
  • Assist the RD in drafting and analyzing assessments such as NMO report and Needs Assessment;
  • Assist the RD in the creation of a development plan for NMOs based on continuous needs assessment;
  • Coordinate with the Capacity Building Regional Assistant on CB opportunities for the development of NMOs;
  • Coordinate with the External Affairs Regional Assistant to promote AP members’ participation in IFMSA external opportunities;
  • Assist the RD in preparing AP NMOs for General Assemblies;
  • Act as the contact person for the Finances IT and assist the RD in finance-related matters;
  • Actively contribute to the organization of the APRM, including but not limited to coordination of the Activities Fair and calls for sSessions Team;
  • Assist the RD in the organization and facilitation of Presidents’ session during APRM and the regional sessions during General Assemblies.

The General Assistant will play a key role in providing essential administrative and secretarial support by working closely with the Regional Director, managing records, and facilitating communication. Adaptability is crucial as you’ll handle diverse tasks to ensure daily operations. While prior Executive experience is valuable, strong organizational skills are equally important. The General Assistant will work closely with the RT on EDI initiatives to boost a culture that respects differences, ensures fair distribution and accessibility of resources & opportunities to all, and builds a sense of belonging among EMR  members. 

Task Description:

  • Ensure daily administrative and secretarial support to the regional director, including daily correspondences, following up with the regional team, and coordinating their joint efforts.
  • Organize and update the Regional NMOs Master Folder, NMOs Directory, and EMR Archiving system regularly. 
  • Keep the Regional Regulations updated and promote awareness of regional regulations among the Regional Team and EMR Members.
  •  Collect and publish the Regional Team Reports. 
  • Develop a Feedback Framework to receive input on RT Performance from Members.
  • Arrange meetings and take OLM minutes with the Regional Team and regional NMO representatives (Presidents). 
  • Work closely with the regional director on organizing the president sessions during regional meeting. 
  • Coordinate the Activities presentation and Fair in Regional Meeting. 
  • Adopt practices & preventive measures to support the regional team’s mental health and foster a healthy working environment for the regional team members. 
  • Research, Apply, and promote Equity, diversity, and inclusion initiatives within the region that ensure our regional members have equal access to IFMSA opportunities and resources.

The Internal Development Assistant will oversee the regional growth by identifying the developmental needs of NMOs, the region, and the regional team. Their responsibility also includes monitoring the implementation of the EMR Strategic Plan 2022-2025 and actively working to broaden our regional reach through the recruitment of new NMOs and upgrading current status. 

Task Description: 

  • Work closely with the RD on monitoring the implementation of the EMR Strategic Plan 2022/2025 and formulation of the Annual Strategic Plan report and other related reports during the term.
  • Support NMOs with their National Strategic plan; including Formulation, development, Implementation, and evaluation.
  • Assist the RD in recruiting and developing new EMR NMOs and offer technical guidance and support to NMOs in maintaining and upgrading their membership status.
  • Assist the RD in the implementation and monitoring of newly established NMOs’ Follow-up plans. 
  • Collaborate with ODA on the formulation, implementation & Follow up of NMOs executive and standing committee developmental plans in coordination with relevant Regional Team Members.
  • Develop and Follow up on the Regional Team and NMO Presidents’ competencies based models with the Regional Director and ODA. 
  • Assist in the organization & facilitation of regional sessions in GAs and Presidents’ Sessions during EMR regional meeting.
  • Promote regional and international tools & resources for NMO’s development.
  • Collaborate with the Regional Team on creating a centralized baseline assessment at the beginning of the term, assist core president Regional Team in evaluation, and follow up assessment during mid & end of the term.

The organizational developmental assistant will be in charge of providing support to NMOs financial representatives on their needs in Financial Management. This position will work collaboratively with the IDA on NMOs and Regional Team organizational needs to ensure resilience. 

Task Description:

  • Promote grants and other fundraising opportunities within IFMSA in EMR (e.g. TAF, solidarity funds, Erik Holst Fund, etc.)
  • Create a Network of EMR NMOs VPFs/ Finances representatives and Maintain Communication with them. 
  • Seek Funding Opportunities in line with regional Needs and active Maintenance of the funding Opportunities Database.
  • Develop Finance Competency-based models to build NMO representatives’ knowledge, skills, and confidence required to drive EMR NMOs Financial stability and sustainability. 
  • Collaborate with IDA on the formulation, implementation & Follow up of NMOs executive and standing committee developmental plans in coordination with relevant Regional Team Members.
  • Develop and Follow up on the regional team and NMO President’s competencies based models with the Regional Director and IDA. 
  • Assist in the facilitation of regional sessions in GAs and NMO Management Sessions during EMR Regional Meeting.
  • Assist the regional director with the Evaluation process of RMs/GAs and development of the pre/post assessments.

Member Engagement Development assistant’s main aim is to ensure that EMR Members are engaged and represented within all  IFMSA opportunities, structures, and Decision making spaces. This position is in charge of creating new opportunities and initiatives for members in line with the regional priority with collaboration with other regional team members. 

Task Description:

  • Evaluate existing engagement patterns and identify obstacles hindering member participation in the region, while maintaining continuous monitoring of EMR member involvement in IFMSA opportunities.
  • Devise inventive strategies to actively involve EMR members and NMOs in all IFMSA/EMR opportunities.
  • Establish initiatives aimed at bridging the gap between Regional Team members, regional activities, and EMR members.
  • Plan and execute activities that highlight and celebrate the accomplishments and impact of NMOs throughout the term.
  • Support the Regional Director in empowering EMR NMOs to engage effectively in regional and international decision-making processes, as well as in preparing delegations for Regional Meeting and General Assemblies.
  • Lead the coordination of the development of the operational plan for Regional Priorities (RP) in collaboration with the RT, focusing on the attainment of internal RP goals and ongoing monitoring and assessment of progress.
  • Coordinate the supervising of Regional Priority SWG.
  • Assist in facilitating sessions during General Assemblies and Presidents’ Sessions at Regional Meetings.
  • Collaborate with PRC Assistant on the Production and publication of the EMR Newsletter.

Available positions

The Internal Development Assistant’s main tasks will be to support, capacitate and work closely with NMOs’ VPFs in terms of finances and resources. Additionally, they will work on grant proposals, the European Strategy, as well as working towards ensuring the financial sustainability of different events held by the European Team. 

Task description:

  • Support NMOs in the creation of budgets and financial plans;
  • Assist NMOs in sponsorship and fundraising;
  • Individual follow-up of the NMOs financial stability and needs;
  • Contribute to the centralized European Database by updating the national treasurer’s network. Keep close contact with them, assist them, and host OLMs if deemed necessary;
  • Actively search for funding and sponsorship opportunities and share them with EuroTeam and NMOs;
  • Maintain and update the regional grant database;
  • Closely work with RD and EuRegMe OC to ensure financial accessibility of the event, as well as avoiding financial hardship for the OC;
  • Assist the RD in the financial matters of the region;
  • Support the European Team in their search for the NO Weekends’ host, as well as support the EuroTeam and the OC in ensuring financial accessibility to the event;
  • Work as a Liaison Officer with the VPF team in terms of finances; 
  • Aid in the preparation, facilitation and evaluation of President’s Sessions in GAs and EuRegMe, as well as European Sessions in GAs.

Selection criteria:

  • Extensive knowledge about the European and IFMSA Strategy;
  • Experience in fundraising and financial matters;
  • Experience with applying for European grants (e.g. Erasmus +, Council of Europe, European Commission, etc.);
  • Good knowledge of NMOs structures and the Region’s main issues and priorities;
  • Knowledge of IFMSA’s Ethical Fundraising Framework;
  • Availability for the European Regional Meeting;
  • Availability for at least one General Assembly;
  • Extensive knowledge of the IFMSA Constitution and Bylaws and the European Regulations. 

Required time commitment: 7-12 hours per week.
